The Property Specialist provides essential administrative support to the Skyline Property Management team, ensuring smooth daily operations and efficient communication across departments. This role offers a hands-on opportunity to learn and gain exposure to all aspects of property management, including maintenance coordination, tenant relations, and financial reporting.
Requirements
- Independent management of assigned vendor contracts
- Participation in budget preparation and variance review
- Direct handling of tenant issues
- Lease interpretation for day to day matters
- Ownership of specific building systems or functions
- Prepare service agreements for property repairs and maintenance
- Open and close utility accounts and maintain a master Excel spreadsheet
- Monitor and review building access card systems maintained by security
- Order office supplies, janitorial supplies, and parts as requested
- Handle meeting scheduling and coordination
- Track and maintain tenant and vendor Certificates of Insurance
- Answer incoming phone calls promptly, route and transfer caller to voicemail or take messages, as necessary and to provide appropriate response and assistance to emergencies
- Organize and maintain tenant and vendor files on SharePoint
- Provide receptionist duties, as needed, and handle inbound calls as necessary
- Handle sensitive client information and confidential company materials
- Assist with the collection of delinquent accounts and preparation of default letters
- Special projects and other additional duties as assigned
