The Executive Administrative Assistant / Analyst supports the Information Technology department in daily administrative tasks, provides support in reporting, system portals, complex reports, project execution, and ensures accurate documentation across the Department.
Requirements
- 3+ years of similar or related experience, including administrative support, financial reporting, or data analysis
- Experience in accounting concepts, variance analysis, or business intelligence tools
- Experience supporting multiple C-Suite executives at the same time
- Bachelor's Degree is preferred; some college or an equivalent combination of experience and training is required
- Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP, formulas, charts)
- Familiarity with accounting systems, financial reporting tools
- Ability to extract and manipulate data from multiple systems
- Strong understanding of basic accounting concepts (accruals, variances, forecasting)
- Advanced Outlook calendar management and Excel skills are critical. Expert proficiency with Word, PowerPoint, and Visio is also required
- Strong organization, time management, project management, attention to detail, and problem-solving skills
- Strong interpersonal skills, as well as a strong customer service perspective (internal, as well as external), and can handle issues with respect, dignity, sensitivity, and urgency
- Friendly and professional demeanor, with a 'can do' attitude
- Ability to act quickly from one task to another, seamlessly and professionally
- Proven time management skills with the ability to prioritize and handle multiple tasks and work in a fast-paced environment with limited supervision
- Excellent verbal and written communication skills including the ability to communicate with all levels of the organization
- Ability to proofread and data validation
- Ability to identify business issues and coordinate an appropriate response with the key stakeholders
- Proven experience working in a fast-paced environment while providing superior service level
- Ability to tame organized chaos while remaining calm and composed
- Possess a high degree of initiative to take independent action and be able to always exercise proper judgment
