Ayuda is seeking a MD Intake Specialist/Office Manager to provide office management and intake support to its offices and clients. The ideal candidate will have experience working with vulnerable populations, excellent customer service skills, and proficiency in Microsoft Office. The role requires an in-office presence Monday through Friday, 8:30 a.m. to 4:30 p.m., primarily in our Maryland office with occasional travel to our Virginia and D.C. offices.
Requirements
- Serve as the first point of contact for clients and visitors, providing a welcoming and trauma-informed experience
- Conduct initial screenings and conflict checks, and enter client information into our databases (primarily LegalServer)
- Schedule clients in accordance with various grant rules and consult requirements
- Provide and track referrals to outside service providers
- Open the office each morning and ensure that the office is ready and welcoming for clients
- Serve as the primary office manager and guide the staff to keep the office organized and tidy
- Act as the first line of defense on building and maintenance issues
- Collaborate with the Director to maintain and improve security practices and protocols
- Provide on-the-ground support to the Director of Operations for safety and security issues
- Support office operations, including mail processing and supply management
- Manage financial processes: generate invoices in Sage Intacct, process payments, issue receipts, create semi-monthly deposits, and support reconciliation between IOLTA and operating accounts
- Set up and administer client payment plans
- Supervise interns and volunteers (with strong performance)
